Chapter 1
Time & Billing for Professional Services Firms
Case Study
Management Information & Technology Consultants Converts to TimeSolv
Pradeep Singh, president of Management Information & Technology Consultants (MITC), is an expert on time and billing software and advises clients in this area. He completely converted his entire firm to TimeSolv to escape the problems associated with packaged software and to enable remote access without the need for a WAN or other complex solution. He is such a fan that he agreed, at the request of our public relations agency, to participate in a panel on application service provider (ASP) security at the last PC Expo. Before MITC discovered TimeSolv, it had resorted to a manual system of simple spreadsheets to calculate billable hours. The company needed an easier, more accurate, more profitable solution.
MITC consultants travel to numerous client engagements all over the northeastern U.S. The consultants had to return to the office after each consultation to log their timesheets, slowing the time-tracking process. These delays created potentially large accuracy problems caused by consultants failing to log hours or forgetting exact project charges. Also, consultants were often making extra trips to the office to log hours, increasing non-billable hours. TimeSolv eliminated these problems by providing remote, anytime, anywhere access to time and billing via an Internet connection.
While MITC encouraged its consultants to enter the billing data on a daily basis, being away from the office often made this difficult. As a result, the most current billing records were not always available. Singh did not have the ability to monitor accounts or give clients an up-to-the-minute billing status. As a result, clients were often surprised when the monthly bill was higher than expected. Now that the consultants track their hours using TimeSolv, the most current account status information is always available.
Time spent on billing process reduced by as much as 80%
Before the switch to TimeSolv, Singh spent approximately two eight-hour days per month preparing invoices, which was cost-prohibitive and inefficient. TimeSolv enables Singh to prepare invoices in a fraction of the time - about two hours total. "I went from spending the equivalent of two eight-hour days per month dedicated solely to tracking time and billing, to spending less than two hours per month with TimeSolv. The "extra time" turned into billable hours of consulting," said Singh. "Cash flow was significantly improved because the billable process went from 60 days to track, bill and collect, to between seven and 21 days."
